For this reason, we use a project management app to manage business admin, because it’s the most convenient way of remembering everything that needs to be done.
Using a project management app like ClickUp to schedule your admin tasks will also make it easier for you to delegate tasks. In ClickUp you can directly assign a task to another one of your team members, or delegate your task to a virtual assistant all from within ClickUp.
Within ClickUp you can estimate how long a task will take to complete, this will help when you complete Tip #1 as you can use the time estimates to plan out how much time you should set aside for business admin. Remember that unexpected delays can happen that can affect your estimated times, so try not to over-schedule too many tasks in one day.

Organise your most used web pages or applications into Bookmarks, Workspaces, or on your desktop, so that the web pages you need for each task can be easily found.
Bookmarks
You can create a folder within your bookmarks and add the most popular web pages for each service or task that you need to do.
Example

We have a folder for each of these services that we provide, within each folder we store web pages that we use when providing the service. When we are providing services we simply open the bookmark folder for the specific service so we can gain quick and easy access to the web pages and applications that we need.
To follow this tip – Create your own relevant bookmark folders specific to your business. Then bookmark the pages that you need the most and store the bookmark within the correct folder.
Workspaces
Google Workspaces allows you to create different workspaces that you can use to provide different tasks or services.
If there are documents you use often to provide a service or perform a task then create a workspace for your most popular task or service and add the documents you need.
This way when you start performing your task you can access the correct documents quickly.

Using software for your business admin can make the process faster and easier. You can find new and better ways to manage your business admin by using the right software.

Textexpander is a tool you can use to create shortcodes that are automatically replaced with a chunk of text.
Example:
I find myself needing to write our company’s introduction a lot in emails and on social media.
I create the following shortcode in Textexpander: dfx
I type dfx while composing an email and also type dfx in a post on Facebook.
Instead of the text I typed (dfx) the following text is populated instead: Prime PA are team of virtual assistants each providing virtual admin and marketing support to small business owners.
This is a very convenient tool as it saves you time by not having to rewrite chunky paragraphs that you find yourself writing again and again.
If you are always rewriting the same text then Textexpander is probably going to make your life a lot easier.

Anytime you use software for your business or even for your personal life it’s best to always update your software regularly to ensure you have access to the newest security features that will keep your information safe.

Setting goals can help you to stay motivated about reducing your admin. Decide what you want to achieve, when you want to achieve it and how you will achieve it. I set goals within our project management app and it helps me to stay focused.
An example of a business admin goal is: This week I want all of the files and folders on my computer organised and correctly labelled.
A goal such as this will help you save time in the future when all your files and folders are correctly organised and named as you will find them faster.
Setting administrative goals will also help you when planning out what tasks you should focus on each week or month.
